This policy explains what information PokePings collects when you use our website, buy a membership, join our Discord server or interact with the PokePings bot, why we collect it, and the choices you have. By using our services you agree to this policy and our Terms of Service.

Who we are

This policy is provided by PokePings (“PokePings”, “we”, “us”, “our”). We are the data controller for the information described in this policy. This means we decide how and why it is used.

The short version

  • We only collect what we need to run PokePings, the PokePings bot and your membership.
  • Payments go through Whop. We never see or store your card details.
  • Our website uses privacy-friendly analytics with no tracking cookies and no ad tracking.
  • We don't sell your personal information, and we don't share it for advertising.
  • You can ask us to see, correct or delete your data at any time.

The PokePings Discord bot

The PokePings bot runs in our official Discord server and our backup server. It handles onboarding and welcome messages, region and ping roles, membership role syncing, support tickets, giveaways, polls, reviews and feedback, restock reports, and moderation tools such as spam, scam and anti-impersonation filters.

What the bot can see

  • Your Discord user ID, username, display name, avatar, account creation date and when you joined our server.
  • Your roles in our server.
  • Commands you use, buttons you press, forms you fill in, and messages you send to the bot.
  • Messages in our server, which it checks as they're posted to catch spam, scams and impersonation.

What the bot stores

  • Your Discord ID linked to your region, ping and membership roles.
  • Support ticket messages and transcripts.
  • Reviews, feedback, poll votes, giveaway entries and restock reports you submit.
  • Moderation records, such as warnings, mutes, bans, flagged messages and the reason for each.

What the bot doesn't do

  • It doesn't keep a copy of general chat messages. Messages are checked by the filters, and only flagged messages are logged.
  • It doesn't read your DMs with other people or collect data from servers other than ours.
  • It doesn't collect your email address or payment details from Discord.

What we collect

From Whop, when you buy a membership

Your name, email address, the plan you bought, membership status, purchase and renewal dates, and the Discord account you link. Card and payment details are handled by Whop and are never shared with us.

From Discord

The Discord information described in section 3 (The PokePings bot).

From our website

  • Analytics: we use Cloudflare Web Analytics, which counts page views, referring sites, country, and device and browser type. It doesn't use cookies or build a profile of you.
  • Server logs: our hosting provider automatically logs basic technical data like IP address, browser and time of visit, for security and to keep the site running.
  • Fonts: our pages load fonts from Google Fonts, which means your browser connects to Google and shares your IP address with them.

ACO and checkout tools

If you use ACO or other checkout tools, you may provide shipping details, retailer login details or checkout profiles. These are only used to place the orders you ask for. If a tool is run by a third-party provider, that provider's privacy policy also applies.

When you contact us

Anything you share in a support ticket, DM or email, such as your order details or screenshots.

How we use it

  • To provide your membership: giving you Premium roles, removing them when a membership ends, and checking that your Whop and Discord accounts match.
  • To run our server and bot: region roles, alerts, tickets, giveaways, polls, reviews and restock reports.
  • To keep the community safe: stopping spam, scams, impersonation, leaking and membership sharing, and enforcing our Terms.
  • To support you: answering tickets and fixing problems with access or billing.
  • To improve PokePings: understanding which pages, features and alerts are used most.
  • To keep you updated: service announcements in Discord. Any marketing emails only go out if you've agreed, and you can unsubscribe any time.
  • To meet legal obligations: such as keeping records for tax, accounting and fraud prevention.

Legal bases

Where data protection laws such as the GDPR apply, we rely on:

  • Contract: to provide the membership and services you signed up for.
  • Legitimate interests: to run, secure and improve PokePings and protect our members. For example, through moderation and anti-spam.
  • Consent: for optional things like marketing emails. You can withdraw consent at any time.
  • Legal obligation: where the law requires us to keep or share information.

Who we share it with

We don't sell your personal information. We only share it with:

  • Service providers that help us run PokePings: Discord (our community platform), Whop (memberships and payments), Cloudflare (hosting, security and analytics) and Google Fonts. They only use it to provide their service to us.
  • PokePings staff and moderators, who can see what they need to help members and moderate the server.
  • Other members: anything you post in our server, like messages, reviews or success posts, can be seen by other members. With your permission, we may also feature success posts or reviews on our website or socials.
  • Legal and safety reasons: if required by law or a valid request from authorities, or to protect the rights, property or safety of PokePings, our members or the public.
  • Business transfers: if PokePings is ever merged, sold or restructured, your information may be transferred. We'll tell you before it falls under a different privacy policy.

Cookies & local storage

Our website doesn't use advertising or tracking cookies. Our guide pages save which steps you've ticked off in your browser's local storage. This stays on your device, is never sent to us, and you can clear it any time with the “Reset” button or your browser settings. Whop and Discord use their own cookies on their sites, as described in their policies.

How long we keep it

  • Membership data: while your membership is active, and up to 2 years after it ends, so we can handle support, disputes and fraud checks.
  • Support tickets: up to 12 months after the ticket is closed.
  • Moderation records: as long as needed to keep the community safe, for example to enforce bans.
  • Content you post in our server: until you or we delete it.
  • Billing records: as long as tax and accounting laws require.
  • Analytics: only kept as anonymous totals.

International transfers

Our service providers may process data in countries other than where you live, including the United States. Where the law requires it, we rely on appropriate safeguards, such as standard contractual clauses or adequacy decisions, so it stays protected.

Security

We limit access to personal data to staff who need it, use secure providers, and protect our bot and systems with access controls. No method of sending or storing data online is 100% secure, so we can't guarantee perfect security. If we ever have a data breach that affects you, we'll let you know as required by law.

Your rights

Depending on where you live, for example in the EU or some US states such as California, you may have the right to:

  • Get a copy of the personal data we hold about you.
  • Correct data that's wrong or incomplete.
  • Have your data deleted.
  • Object to or restrict how we use it.
  • Receive your data in a portable format.
  • Withdraw consent you've given.
  • Not be treated differently for using these rights.

To make a request, open a support ticket (see section 16, Contact us). We may need to confirm your identity first. Some data may need to be kept, for example for legal or fraud-prevention reasons. You may also have the right to complain to the data protection authority where you live.

Children

PokePings isn't meant for anyone under 13, or under the minimum age to use Discord in their country. We don't knowingly collect data from children under that age. If you're a parent or guardian and think your child has given us personal data, contact us and we'll delete it.

Changes to this policy

We may update this policy as PokePings and the PokePings bot change. We'll update the “Last updated” date above, and for important changes we'll post a notice in our Discord before they take effect.
